Holdings Procedures

BACKGROUND

Items ordered or selected for GLX may be more appropriate for Avery. If a book selected for GLX has a class number in the N-NK range, it should be automatically rerouted to the Avery team for processsing. Books selected for locations other than GLX, e.g., MIL, that fall into this class number range should be cataloged for the location on the T2 rider.

PROCEDURE

Note: This procedure does not apply to books processed by Area Studies staff located in the Lehman Library.

  1. If Avery/Fine Arts already has a copy, process the item as a duplicate unless T2 indicates that the item is wanted regardless of duplication. If the item is wanted regardless of duplication, process for GLX with an LC call number.

  2. Or, if Avery/Fine Arts already has a copy, process the item as a duplicate unless the T2 indicates that the item is wanted if new to GLX. If the item is new to GLX, process for GLX with an LC call number.

  3. If a book would be assigned a classification number in the N-NK range, change the location on the T2 and in the copy holdings record from glx to fax. Avery staff are responsible for deciding whether a particular book should be cataloged for Fine Arts or Avery.

  4. Track the item to OSMC, if it is not a duplicate using appropriate Tracking Notation Code

  5. If a GLX monographic continuation or serial is already cataloged in class N-NK and a new volume is received for adding, add as GLX.

  6. If a GLX location appears on a manual card, transcribe as GLX
