BACKGROUND
Follow these guidelines for creating bibliographic records for digital
versions of monographs and continuing resources from Columbia University
Libraries' collection. The guidelines follow the
Digital Library Federation's Registry of Digital Masters Record
Creation Guidelines (Vers.2, 2007)
PROCEDURES
Derive a new record from the record of the original print version in OCLC.
After deriving the new record make the following edits:
- Fixed Fields
Accept all the fixed field values appearing in the original record, with
the following exceptions:
- Form: Code s for electronic item
- Srce: Code d for not LC or PCC cataloging
- Desc: Many of the bibliographic records for the print items are
coded blank or i. Do not adjust. It should only be changed to a if the
bibliographic record is upgraded to follow AACRII.
- Variable Fields
Make sure that the following variable fields are transcribed from the
source record (if applicable). If the fields do not display in the
derived record, adjust your OCLC settings, Tools/Options/Derive Record/
[select default options]
- 041 (Language code): For multi-lingual works or works that
involve translation. Use of 041 $ eng in CUL records for digital materials was
discontinued as of May 5, 2008.
- 043 (Geographic area code): Transcribe as is
- 050 (Library of Congress Call Number): If the original had an
050 or 090 field, retain the complete call number and code the field as an 050 with
first indicator blank and the second indicator 4.
In addition to that, always add the following variable fields:
- 006 Add a 006 for the electronic aspects of the item.
- 007 Add two 007 fields in each record. One to reflect the
preservation master copy on DVD, the other one for the remote digital
version. In some situations an additional 007 field may be coded to
reflect an aditional version, e.g., raw master images stored on
additional DVD.
- 042 (Authentication code): Code dlr to indicate that the record
was created in accordance to the best practices developed by the Digital
Library Federation for a registry of digitally reformatted and born digital
monographs and serials.
Note: Do not use for scans received from vendors, such as Acme or Google,
or from future scans made from existing microforms
- 245 (Title statement): Add a subfield h with the gmd
[electronic
resource] following the subfield a. If the 245 contains a subfield p or n,
subfield h will follow those.
- 506 (Restrictions on Access Note): Code according to
the Registry
of Digital Masters Standardized Terminology for Access
Restrictions
Example:

- 533 (Reproduction note): Add a 533 field to the record with
information about the reproduction, including notes for mode of access and
the master copy. Subfield n may be repeated to reflect additional versions
corresponding with additional 007 fields.

- 538 (System details note): Each record should contain a 538
field with the following content:

- 583 (Action note): Add a 583 following the
Registry of digital masters record creation guidelines (Vers. 2,
2007)

- 776 (Additional physical form entry): If a bibliographic record
for the original is available, link to it using the 776 field. Use the Insert
from Cited Record command to copy citation. To insert a citation:
- Add the 776 field and enter indicator values 08.
- Enter OCLC number at the beginning of the text box.
- Right click into the field and select Insert from Cited Record.
- Connexion automatically extracts data from the cited record.

- 856 (Electronic Location and Access): Code first indicator 4,
second indicator 0. The URL itself resides in subfield u.
Digitized serial/multi-vols. holdings will be recorded at the item level
in the CLIO holdings segment, regardless of how many volumes there are.
When CLIO records are exported to OCLC, this holdings information will be
programmatically transferred to the bibliographic record to accommodate
OCLC's approach to handling links to digital content.
Since in most cases separate structural metadata will be included for each
volume, each will have its own 856, with a $3 subfield indicating the
volume number or, if it lacks a volume number, the year. The same practice
for 856 with corresponding 920 is followed.
On occasion, there may be several volumes in one physical item or
several physical items for one volume. The holdings added should always
reflect the intellectual arrangement, not the binding of the original
print volume.
- Additional fields to be added in CLIO:
- 965 Contains a special code assigned to a specific digital
project. E.g. digitalnyc. Add if applicable.
