Recording Holdings Information for Microforms


BACKGROUND

Holdings records for originally published microform items in more than one piece, or for single piece microforms that are reproductions of multipart items include an 866 field. Follow the appropriate procedure for the item in hand:

PROCEDURES

  1. Original microform publications

    For original microform publications, it is necessary to add an 866 field to the holdings record when there is more than one physical piece mentioned in the 300 field of the bibliographic record. Code the 866 following the basic procedures in CPM-450.

    fiche 1-73, fiche 76-79 + "guide" 1 v.

  2. Microform reproductions

    For microform reproductions an 866 is created when the 300 field in the bibliographic record indicates that the original was in more than one volume. The MFHD, like the bib record, describes the original publication, not the microform reproduction. However, to avoid confusion we may add a note in angle brackets to the holdings data in the 866, relating the original holdings to the microform in hand.

    Examples:

    300 field in bib record: $a 2 v.
    533 field in bib record: $m Vols. 1-2. $e 1 microfilm reel
    866 field in MFHD holdings: v.1-2 <on 1 microfilm reel>

    300 field in bib record: $a 3 v.
    533 field in bib record: $m Vols. 2-3. $e 6 microfiches : negative
    866 field in MFHD holdings: v.2-3 <on 6 microfiches>

    300 field in bib record: $a iv, 496 p.
    533 field in bib record: $e 5 microfiches.
    In this case, there is no 866 field in the MFHD.

    Note: In cases where a multipart original is reproduced on one fiche or one reel of film, do not include any enumeration in the enumeration field of the item record.
