BACKGROUND

This document summarizes treatment of 035s in CLIO records. Completed cataloging records must have an 035 for a matching OCLC record and/or a NYCG RLIN ID only.

1. OCLC
   • If an OCLC record has ANY 035 field, delete it BEFORE exporting to CLIO.

     Go to Deleting OCLC 035's

   • After OCLC GTO, retain the OCLC ID number in 035 unless you are doing variant edition cataloging. In that case, delete it.

2. RLIN
   • Before cataloging, follow instructions for using the RLIN PUT command.

     Go to RLIN PUT Command document

   • After the record is "put" into CLIO, delete any non-NYCG RLIN ID's from the CLIO record.

     Example: (CStRLIN)NYCXAAQJ5750-B

   • But if there is an 035 with an NYCG ID from a RLIN acquisitions record, retain it so that the cataloged record will overlay the acquisitions record when the record is reloaded into RLIN.

     Example: (CStRLIN)NYCG86-B23174

   • Preliminary records (status g) created in CLIO receive an 035 in RLIN when the record loads into RLIN. This 035 is based on the CLIO ID, e.g. (NNC)notisALX3871. If a CLIO preliminary record is then batch matched by MARCADIA, all 035's are stripped from the bibliographic record when the MARCADIA record overlays the CLIO preliminary record. When the CLIO record is cataloged, i.e. changed to status h, it is not necessary to restore the RLIN 035 in the CLIO record. When the status h record is uploaded to RLIN, the ID number in the CLIO record will match the RLIN 035 that was based on that record to begin with and the cataloging record from CLIO will overlay the preliminary record in RLIN.

3. LTLB
   • Delete 035's following procedures in the CLIO manual.

     Note: The procedures for editing LTLB 035's complicated the record transfer process to such an extent that a decision was made to delete all 035's during the transfer process.

     It is not necessary to restore the OCLC record id number to LTLB based records.

4. CLIO
   • All 035's must be deleted when doing variant edition cataloging.

   • After you have used the derive, bovl, export or put command to get a record into CLIO, and the record matches the copy being processed, only the following 035's should stay in the record
     • 035 followed by an OCLC record id number (OCoLC)ocm
     • 035 followed by a Columbia RLIN id number (CStRLIN-NYCG)

     All other 035's including those that begin with NNC and (CStRLIN) followed by anything other than NYCG should be deleted.
