PRELIMINARY AND TRACKING RECORDS: OVERVIEW

Record Creation Procedures

  1. BACKGROUND

    CLIO contains three kinds of in process records which provide access to materials in-process or materials which are in the open or closed backlogs.

    Use the definitions below to identify a type of on-order/in-process record found in CLIO or to create a tracking or preliminary record for ordering or cataloging.

    1. RLIN ACQUISITIONS RECORD

      Originally created in RLIN, this record is identified on the BIBL display by an 035 field containing the RLIN ID number AND by the text "NO CALL NUMBER ASSIGNED" on the copy holdings record. These records will provide access to the "old" priority 3 backlog created before June 1992, much of which is currently located offsite.

    2. TRACKING RECORD

      A very brief record created when no copy exists : a) by Serials Acquisitions Services for monographic items received on standing order and being routed to processing ; b) by catalogers for rush items that must be tracked from one department to another (e.g., after determining that original cataloging is necessary). Catalogers upgrade Tracking Records to Preliminary Records or overlay them with copy if it is available.

    3. PRELIMINARY RECORDS

      Are created by acquisitions staff for firm orders or by cataloging staff or items that are processed for the precataloging backlogs. Preliminary records are fuller than tracking records, e.g., have author entries and publication data, and may be created directly in CLIO, transported from the LC Resource File (LTLB), downloaded from OCLC or RLIN or may be based on LTLB/RLIN/OCLC/CLIO cataloging copy and modified to match the item in hand or on order.
