CREATING TRACKING RECORDS

Record Creation Procedures

PROCEDURE

Create a tracking record for rush materials or for titles received on a standing order lacking cataloging copy.

  1. Input the new <format> command to display a workform for a particular format.

  2. Example: new b

    b books (Applies also to microforms)
    d computer files
    f visual materials
    m music (scores and sound recordings)
    p maps
    s serials
    u mixed material (formerly AMC)

  3. FIXED FIELDS

    1. RT/BL (Record type and bibliographic level) are system supplied, except:

      Visual Materials RT=g
      Music Sound Recordings RT/BL =j/m
      Music Scores RT/BL = c/m

    2. E/L (Encoding level) Overtype the value 9 to 5

  4. VARIABLE FIELDS:

    1. 020/ISBN--Input if present.

    2. 022/ISSN--Input if item is a serial.

    3. 245/Title

      1. Transcribe the title as it appears on the title page or container, including initial articles with appropriate filing indicator.

      2. If the book lacks a title page, take the title from the cover.

      3. Capitalize the first letter of the first word, first letters of proper nouns, and all nouns in German titles. Do not transcribe statement of responsibility.

        Example 1:

        Title page: Boss dog by M.F.K. Fisher.

        245::Boss dog.

        Example 2:

        Title page: The Merchant of Venice.

        245:14:The merchant of Venice.

      4. Input subtitles preceded by :|b

        Example 3

        245:: Monet to Manet :|b landscape painting in France.

      5. If work is a microreproduction or requires a general material designation, add the form of reproduction or gmd in |h at the end of 245.

        Example 4:

        245::Boss dog |h[microform]

      6. If title is very general, add author in a 1xx field and verify the form of name.

        Example 5:

        100::Austen, Jane, |d 1775-1817.
        245::Novels.
