EndNote Bibliographic Software

EndNote is a citation management program that allows you to export references from library catalogs and databases, store them in lists that you create, and cite them in papers and bibliographies using any citation style you choose. EndNote is available, free of charge, to all current Barnard and Columbia students, faculty and staff, and must be downloaded onto your computer from CUIT's EndNote software page. Exporting Records into EndNote from CLIO

Exporting references from a library catalog or database requires a filter so that the information is imported by EndNote in the correct format.

Downloading the Filter for CLIO

  1. Download the filter for CLIO by clicking here:  Columbia U.
  2. Save this filter on your computer to the folder C:\Program Files\EndNote 9\Filters. Do not rename it.
  3. If EndNote is open, you will have to close and open it again before the filter will show up in the filter list.

Searching and Exporting from CLIO

  1. In CLIO, carry out your search and tag the records you wish to import into EndNote by checking the boxes in the left-hand column. If you wish to import all the results on the page, do not tag any records.
  2. Scroll to the bottom, to the area showing the "Print/Save/Email" options. These options are also available at the bottom of each individual item record page in CLIO.
  3. If you have tagged a selection of records from the page, choose "Selected On Page" from the "Which Records?" column in the Print/Save/Email box. If you wish to import all the records on the page, choose "All on Page."
  4. To export selected records from multiple pages of the list of search results, after selecting them on the first page by checking the boxes, click the "Retain Selected" button at the bottom (above Print/Save/Email). Move to the next page using the "Next" button or a page jump option. Make your selections by checking boxes and click the "Retain Selected" button again. Repeat this on all pages throughout the search results list. When all your selections are made, choose the "Selected All Pages" option from the "Which Records?" column in the Print/Save/Email box.
  5. To export the record(s), next to "Select Print/Save Format" choose "EndNote" using the drop-down list, and then click on "Display for Print/Save". The records will be displayed in a plain text format.
  6. Use your browser's File - Save Page As function to save the records to your desktop, or elsewhere on your hard drive, as a text file (in .txt format). It is a good idea to give the file a distinctive name.
  7. You can also export records from your Bookbag. However, on the Bookbag screen, tagging of a record indicates that it is to be deleted, and only untagged records will display when you click on "Display for Print/Save".

Importing the Records into EndNote

  1. Start the EndNote program, open up the library into which you wish to import the references, and go to File - Import.
  2. Choose the correct file containing the references to be imported, from your desktop or other location.
  3. For "Import Option" select the filter Columbia U. If it is the first time you have used it, you will need to click on "Other Filters..." to access the full list of filters and select Columbia U.
  4. If your records include non-Roman (Unicode) characters, from the "Text Translation" menu choose "Unicode (UTF-8)".
  5. Click on "Import".
  6. Only the imported references are shown at this point, but if you close the library and re-open it, all the references in the library will be displayed.

NB:

Bullet Remember that EndNote only imports the data - it does not proofread it. Make sure that you look carefully at each record to make sure that all the fields have been imported correctly. Check, in particular, the fields that are important for correct citation: author, title, date, and publisher information.
Bullet This table shows the Reference Types used in EndNote, and how each type of item from CLIO is assigned when imported. You can customize the reference types and their fields in your copy of EndNote, by going to Edit - Preferences - Reference Types - Modify Reference Types.

Another Method for Using EndNote with CLIO

You can search CLIO directly from within EndNote, if you have downloaded the CLIO connection file from the EndNote software page. Save the CLIO connection file to the folder C:\Program Files\EndNote 9\Connections.
  1. Once you have downloaded the CLIO connection file, in EndNote, go to Tools - Connect - CLIO to search CLIO.
  2. Searching CLIO by this method is similar to a Guided Keyword search in the regular CLIO, except that two or more words together are always taken as a phrase.
  3. When the references are retrieved, they are put in a buffer. Click on "Copy All References To" to add them to a library.
